Privacy Policy

Effective date: October 25, 2026

This policy explains how Aqua-Wise Miami handles information on aquawisemiami.com, including water-test requests and the AquaWise Miami Booking application. For privacy questions, email [email protected] or call 786-414-1808.

Information you provide

When you request a water test or contact us, we receive the details you submit: your name, phone number, email, whether you own or rent, your water source, the issue you select, and any notes. Booking an appointment also requires a service address, ZIP code, and a chosen time. We record your communication consent and when it was given. Please avoid including financial, medical, or other sensitive information in the notes.

How we use your request

We use these details to respond, discuss your water concerns, arrange and provide the requested service, manage appointments, and prevent duplicate or abusive submissions. Your initial request is saved when you submit your details, even if you do not finish choosing an appointment. A saved request alone is not a confirmed booking. An appointment is confirmed only after our calendar accepts it.

The form asks for permission for related phone or text follow-up. That permission concerns your request; it is not blanket consent for unrelated advertising. You can ask us to stop follow-up by contacting the email or number above. If you receive text messages, you may also use any opt-out instructions included in them. We may need to retain a record of your request and preference.

Appointment scheduling and Google Calendar

AquaWise Miami Booking connects our business calendar through n8n. An authorized Aqua-Wise account connects Google; visitors do not need a Google account. Permissions allow calendar selection, availability checks, and management of events on calendars owned by the connected account. The current booking workflow uses the Miami business calendar.

We read busy intervals and check the event for a requested booking to prevent conflicts and duplicates. Confirmed appointments store the submitted contact details, service address, water concerns, and appointment time in a private calendar event. Visitors receive available times, not other customers’ details or event titles.

Google API data is used only for scheduling, reliability, and security. We do not sell it, send it to advertising platforms, use it for ad targeting or lending decisions, or train general-purpose AI models with it. Processing is limited to the authorized scheduling services; human access is limited to consented scheduling support, security needs, or legal obligations. Our use of Google API information follows the Google API Services User Data Policy, including Limited Use requirements.

The account owner can revoke the connection in Google Account connections. Revocation stops future calendar access; it does not automatically remove existing appointments or request records. Contact us to request their correction or deletion.

Booking emails and appointment reminders

When you confirm a booking, Google Calendar sends an invitation to the email you provided. Our Miami office receives notifications about new requests and confirmed appointments. We also send appointment reminders, normally 24 hours and 1 hour before the visit, when the booking was made early enough for those reminders. Reminders check the current calendar event first and skip cancelled or past appointments. Contact us to change your appointment or ask us to stop reminders.

The automation uses Gmail permission limited to sending these service emails from [email protected]. It does not use Gmail API permission to read, search, or delete inbox messages. Queued notifications and provider message identifiers are stored with the request to track delivery and prevent duplicate sends. A sent status records the provider accepting the message, not proof that you opened or received it in your inbox.

Browser storage, measurement, and website logs

The website and its providers may receive technical data such as IP address, browser and device information, requested pages, and timestamps for operation and security. The booking form can retain campaign tags, advertising click identifiers, the referring page, and the landing-page URL with your request to help us understand how you found us.

The form uses browser session storage to remember the selected water source and resume a booking. The saved booking reference and authorization token are treated as valid for resuming for up to 24 hours; browser session storage normally ends when the tab session closes. The resume record does not contain the contact or service-address fields. Shared-device users should close their session when finished.

When enabled, Meta Pixel receives website interaction information, including a Lead event after details are saved and a Schedule event after booking succeeds. Events use an identifier to reduce duplicates. Calendar busy intervals and Google event contents are not sent to Meta. Meta may associate website activity with its own cookies or accounts under its privacy policy. You can manage browser cookies, tracking protection, and Meta advertising preferences. Blocking tracking may limit measurement without preventing you from contacting us by phone.

Providers and disclosures

Our hosting and WordPress systems store request records, n8n processes scheduling requests, and Google Calendar stores appointments. Authorized staff and service providers receive information needed for those tasks. Embedded media or linked websites may process data under their own policies. Providers may process information outside your state or country. We do not rent or sell submitted contact details. Information may also be disclosed when required by law or needed to investigate misuse or protect people and systems.

Retention and protection

We retain requests, consent records, and appointment information as needed to handle the service, maintain business records, resolve problems, and meet applicable obligations. There is no single retention period for every record. We use HTTPS, restricted administration, and server-side handling of integration credentials. No internet service can guarantee absolute security.

Your choices and requests

Contact [email protected] to ask what personal information we hold about you, correct it, request deletion, or withdraw follow-up consent. We may verify your identity and may retain information needed for legal, security, or unresolved service matters. Removing a calendar connection and deleting website records are separate actions; tell us which records your request concerns.

This service is intended for adults arranging water treatment, not children under 13. Please contact us if a child has submitted personal information. We may update this policy as the website changes and will show the effective date here. Materially new uses of connected Google data require appropriate notice and authorization.
